FRNY - VoIP Deployment

???Colleagues, You may have heard that Purdue is upgrading its 20-year-old phone system with new Cisco Voice over Internet Protocol (VoIP) phones. You will be receiving a new phone with features we believe you're going to like. Beginning May 21st installation crews will access your location to make sure it is set up to receive your new phone. Later, we will email you again with details on when the phone will arrive and the date on which it will be activated. The new VoIP phones offer a variety of advantages for faculty and staff, including the ability to take calls on a mobile device and have voicemails forwarded via email. The switch also will make it easier to get phones moved when moving to a different office. No paperwork required. Just plug the phone into a network port at the new location. Quick reference materials will be distributed with your new phone and simple training videos are available to assist you in setting it up and becoming familiar with it, including creating new PIN numbers and greetings. You can access these on the project website https://www.itap.purdue.edu/telecommunications/rollout/?<https://www.itap.purdue.edu/telecommunications/rollout/>. The website also includes an up-to-date schedule of planned installation locations and an FAQ about the project. Information is available as well in Purdue's GoldAnswers online knowledgebase. Search for "Cisco VoIP." In addition to mobile capability, voicemail to email and faster phone moves, other features that may benefit faculty and staff include: * Self-service web portals to set up phone and voicemail options. * Audio, web and video conferencing services if desired. * Enhancements that should allow faster recognition, troubleshooting and resolution of issues. * Automated emergency location tracking, giving 911 operators precise locations. Headset users: Most wireless headsets should work with your new VoIP phone. Wired headsets may require an adapter cable, if available. The FAQ on the project website has a list of compatible headsets if you need a new one. Stairway Lighting Project

BE ADVISED - Starting this week there is a campus wide project to install new LED lighting in all stairways. Our building is scheduled to be one of the first, so possibly towards the end of the week you will see stairways and entries taped off/barricaded for a period of time while the work is done. It should not take that long per landing/light, so they should progress rather quickly and stairways will be reopened when finished. If you have any questions, please contact me. Thanks. Jeff Valley

Start of self-audits of ChE labs and offices

Hello Everyone, It is now time to complete the Annual Safety Review of all ChE laboratories and offices. These reviews are part of our Integrated Safety Plan (ISP) and are required to obtain our annual recertification with the University. The safety audit of multiple offices can be inventoried on the same form. The timeline for the 2018 recertification process with REM is: - May - June - self-audits of all laboratories and offices - June - Safety inspections of all ChE laboratories and offices - May - July - address deficiencies identified in self-audits and inspections - August - Recertification Review meeting with REM 1. Self-Audits: The ISP Self-Audit checklist can be found on the ChE School's website, under the "Laboratory Safety Requirements" heading: https://engineering.purdue.edu/ChE/aboutus/safety , or on the REM's website: https://www.purdue.edu/ehps/rem/isp/index.html . Please only use these forms, as they are the most up-to-date forms that are now used at University level. I also attach the most updated form, for your convenience. The first eight sections have universal questions that apply to every area. Sections 9 to 27 have questions related to specialized operations; research laboratories and shops should address all sections. All self-audit checklists must be signed by PI/supervisor, not necessarily by the person completing the self-audit. I attach the Hazard Assessment Certification for FRNY offices for your information; please answer "yes" to questions 6.1 - 6.4 for offices. Please return completed self-audit forms to Gabriela Nagy in FRNY G041D by 5 pm on Wednesday, June 6, 2018. In addition to the self-audit, please review and update the door posting, hazard assessment (should be placed inside the lab, near the entrance), chemical inventory (Form HCP4) and employee exposure list (Form HCP5) and lab specific Chemical Hygiene Plan for your work area. They should be accurate and dated within the last six months. If your group is keeping SDSs saved electronically, please make sure you follow the recommendations issued by the safety committee that are listed HERE<https://engineering.purdue.edu/ChE/aboutus/safety/documents/Guidelines%20fo…>. 2. Inspections: The ChE Safety Committee will perform unannounced safety inspections of all laboratories and offices during June, and will send the inspection reports to the faculty responsible for those areas. 3. Deficiencies: Deficiencies identified in your audits and in the ChE Safety Committee inspections will need to be addressed. The ChE Safety Committee (list posted on https://engineering.purdue.edu/ChE/aboutus/safety ) is available to help you. 4. Recertification Review: The review includes unscheduled visits to our laboratories and offices by REM. The recertification review meeting with REM will take place during August, 2018. Safety awareness training session - May 21

Hello Everyone, The next safety awareness training sessions is scheduled for Monday, May 21, 2018 from 11:30 am - 12:30 pm am in FRNY G124. All new employees and researchers need to have initial safety training. If you have new people joining your groups for research, they will need safety training before they start working (e.g. SURF students, visitors, exchange students, post-docs, master students doing their research project, etc.). Please ask them to attend this session. Most of our undergraduate students already have the initial training, and would need to take the online refresher (ask me if you are not sure they have taken the initial training). Students from other departments, doing research in our labs, will need this initial training. Mandatory annual safety training refresher - 2018

Hello Everyone! It is now time to complete the online safety refresher training, which is required for all ChE faculty, staff, graduate students, post-doctoral research associates and visiting researchers/scholars. You can access the training material and take the quiz on any device linked to the internet, including mobile devices such as a smart phone, iPad or other tablets. Please follow the instructions below and complete this safety refresher training by the end of Sunday, June 2, 2018. Instructions: 1. Access the ChE safety website https://engineering.purdue.edu/ChE/aboutus/safety and click on the Annual Safety Training Refresher<https://engineering.purdue.edu/Intranet/Groups/Schools/ChE/SafetyTraining.h…> link under the Training heading. Alternatively, you can follow this link: https://engineering.purdue.edu/Intranet/Groups/Schools/ChE/SafetyTraining.h… to access the dedicated safety refresher web page. 2. Log-in with your Purdue credentials and click on the link that best describes your status in our School to access the training material relevant to you. All graduate students will have to click on the "Graduate Student" link, regardless of the type of research they perform. 3. Read and understand the training material and follow the active links in the document (where applicable) for more information on specific topics. 4. Follow the "Take the quiz" link at the end of the document and take the short quiz to complete this part of the training. Once you complete the quiz, you will receive an email confirming that you completed the training (or part of the training, depending on your status in the School). Save this email and keep it for your own records. 5. If applicable, read the updated lab specific Chemical Hygiene Plan (CHP) developed for the lab you work in (or, as PI, are responsible for) and complete the certification page (page 87 in the CHP template posted on REM's website: https://www.purdue.edu/ehps/rem/documents/programs/chp2014.pdf ). 6. Turn in the signed CHP certification page to Gabriela Nagy (FRNY G041D) within 10 days of completing the quiz. UPDATE & REMINDER: Finance-related Transactions Impacting Faculty and Staff

Good afternoon, This is a reminder of key dates related to finance transactions as we move closer to our July 1, 2018 Finance Transformation launch. Per the attached email that we received last week, there is a new pause date for Ariba catalog orders (new deadline dates are below). I will continue to provide updates as I receive them regarding the pause dates and interim processes. UPDATE: Purchasing Deadlines * Tue., May 8 - deadline for all non-catalog Ariba purchase requisitions to be submitted by ChE faculty/staff/students to ensure the business office can approve by our May 9 deadline. Any non-catalog requisitions not approved by May 9 will need to go back to composing status or they will be deleted. If you have routine orders that you normally would purchase in June/July, please submit in Ariba by May 8 to ensure the order is approved. On May 10th, the non-catalog ordering function will temporarily be disabled in Ariba. * Tues., May 29 - deadline for all catalog Ariba purchase requisitions to be submitted by ChE faculty/staff/students to ensure the business office can approve by our May 31 deadline. Any catalog requisitions not approved by May 31 will need to go back to composing status or they will be deleted. If you have routine orders that you normally would purchase in June/July, please submit no later than May 28 to ensure that we have ample time to review and approve orders. UPDATE: Transition Period Purchasing Processes We understand that critical purchases may be necessary during the transition period. Below is a brief glance of how purchasing will be handled after May 8th (for non-catalog orders) and May 29th (for all purchases). 1. Use the Purchasing credit card to purchase low-risk or small-dollar orders. Due to the purchasing limits that we have on our dept. credit cards and the anticipated increase in volume of purchases, only purchases under $250 will be charged to dept check out cards. Purchases over $250 will need to be completed in the business office. 2. When a vendor does not accept credit cards, a Direct Invoice Voucher (check) will be issued to purchase low-risk items. Please submit a copy of the invoice and purchase requisition to the business office no later than May 29 if the vendor needs to be paid by July 1. After May 28, we will still prepare DIVs but vendors will not receive payment until after July 1. 3. All high-risk purchases, including long-term projects, capital purchases, vendors requiring Purchase Orders and contracts, should follow the interim purchase order process<http://www.purdue.edu/business/procurement/howtobuy/index.html>, which is paper-based and will take longer due to manual processing. UPDATE: Other Important Deadlines * Tues., May 29 - deadline to submit a purchase requisition and receipt(s)/invoice(s) for reimbursement(s), invoice(s), service(s), etc. to the business office to ensure that we meet our June 1 deadline if the individual/vendor needs to receive check payment before July 1. * Wed., June 13- deadline for completed Travel expense reports to be submitted through Concur so the business office can approve by their June 15 deadline. Expense reports not approved by June 15 will be deleted and travelers or their delegates will have to re-submit the expense report after July 1. * Wed. June 13- deadline to submit invoices to the business office that will need to be paid via wire transfer. This will allow us to meet our June 15 processing deadline. * Fri., June 29 - deadline for work orders. After this date, emergency work orders will be submitted through Fixit.
