IMPORTANT PROCESS UPDATE – CONCUR & ARIBA

Over the last several weeks, Purdue University has been the subject of an NSF audit.  During the process of providing the necessary information to the auditors we realized that a key policy item has been overlooked in recent years.  When placing orders through Ariba or completing travel reports within Concur please follow the policy listed below.  The business office will reject Ariba orders and Concur reports if the necessary information is lacking.

When placing orders through Ariba two key pieces of information have to be included in the comment section of the order:

1.)    The purpose of the item(s) you are ordering and

2.)    The specific benefit to the project.

When completing travel reports in Concur, it is imperative that you provide the information below in the comment section of the report:

1.)    The purpose of the trip

2.)    The specific benefit to the project

Purchasing

As a reminder all purchase request forms must be filled out completely. This includes the address of the company and an explanation of how this purchase is a benefit to your project. Incomplete forms will be delayed or returned until they are completed in full. We have also been receiving several incomplete or wrong account numbers. If you do not know a piece of information or have questions on how to fill out the form, please ask a secretary or member of the business office.
